Manawa Connect · Effective October 21, 2026
Who we are
Manawa Connect is an internal tool operated by Manawa Networks, Toronto, Ontario, Canada. It lets authorised members of the Manawa Networks team work with Manawa Networks' own QuickBooks Online company from AI assistants such as Claude and ChatGPT. It is not offered to the public or to other businesses.
Who can use it
Only people whose email address is on the Manawa Networks team list. Each person signs in through Clerk, our sign-in provider. Removing someone from the list cuts off their access on their next request.
What we access in QuickBooks
When a QuickBooks administrator connects Manawa Connect on Intuit's own sign-in page, Intuit grants the com.intuit.quickbooks.accounting permission and nothing else. That covers accounting records such as customers, vendors, invoices, bills, payments, accounts, products and services, reports and company information.
Manawa Connect is currently read-only: it reads these records to answer questions and makes no changes in QuickBooks. It does not access QuickBooks Payments, payment card numbers or bank sign-in details.
What we store
- Team members' names and email addresses, from sign-in.
- The QuickBooks connection: Intuit's access and refresh tokens and the QuickBooks company ID, encrypted with AES-256-GCM.
- Sign-in tokens for connected AI assistants, stored only as one-way hashes.
- An audit record of each request: who made it, when, which tool, the request as the AI assistant relayed it with secrets removed, the caller's IP address, and a fingerprint of the result rather than the result itself.
- Files a team member uploads for a task, such as a receipt, kept in private storage.
We keep a copy of these QuickBooks records in our database so the team can search and analyse them quickly. Intuit notifies us when records change, and we regularly check for anything missed, so the copy stays current. The copy is used only for the purposes described here. Disconnecting QuickBooks in Settings deletes the copy.
How we use it
Only to answer requests from our team, and to run, secure and troubleshoot the service. We do not sell personal or QuickBooks information, use it for advertising, or share it with other organisations except the service providers listed below.
AI assistants
When you use Manawa Connect from an AI assistant, the information it returns goes to that assistant's provider (for example Anthropic for Claude, or OpenAI for ChatGPT) so the assistant can answer you. That provider handles it under Manawa Networks' agreement with them.
Service providers
- Intuit: QuickBooks Online, the source of the accounting data.
- Vercel: hosts the service.
- Neon: hosts the database, including the copy of the QuickBooks records.
- Clerk: signs team members in.
- The AI assistant provider you use, as described above.
Some of these providers store or process information in the United States, where it may be subject to US law.
Security
All connections use HTTPS. Credentials are encrypted at rest, tokens are stored as hashes, access is limited to the team list and checked on every request, and every request is recorded for accountability.
Keeping and deleting information
The QuickBooks connection and the copy of the QuickBooks records are kept until QuickBooks is disconnected. Disconnecting in Manawa Connect's Settings asks Intuit to revoke the tokens, then deletes the tokens and the copy. Disconnecting from inside QuickBooks stops the tokens working; the owner then removes the connection in Settings, which deletes the copy. Audit records and team-member details are kept while the service operates, and deleted on request where the law allows.
